Planning a company retreat in Cox's Bazar that works
Group size, flight or coach, hotels with meeting rooms, beach team activities and a fair per-head budget: a practical plan for your office trip.

An office trip to Cox's Bazar can be the best few days your team has all year, or a tiring blur of late coaches, cold dinners and arguments about room sharing. The difference is almost never the destination. It is the planning done in the weeks before. Here is how to organise a retreat that people actually come back from refreshed.
Start with the group and the goal
Before you look at hotels, get two answers from management: how many people, and what the trip is for. A reward trip for a sales team needs free time and a good dinner. A strategy retreat needs a quiet meeting room and a proper agenda. A whole-company outing with families needs child-friendly rooms and simpler activities.
Group size shapes everything else. Up to around twenty people can usually fit into one hotel and one dining table without much fuss. Larger groups need room blocks booked early, more than one vehicle, and someone who keeps a headcount at every departure. Collect names exactly as they appear on each person's NID or passport from day one, because airline tickets need them.
Flight, coach or train
There is no single right answer. It depends on time, budget and how much of the trip you want to spend travelling.
- Flying from Dhaka is the quickest and leaves the most time on the beach. It suits short retreats and senior teams, but group seats on popular dates go early, so book as soon as dates are fixed.
- An AC coach overnight is the classic office-trip choice. Hiring a whole coach for your group means one pick-up point, your own schedule and a sense of occasion. Plan for the fact that people arrive tired, so keep the first morning light.
- The train from Dhaka is another option, and many people enjoy it. Seats can be hard to get in busy seasons, so treat it as a plan to secure early rather than a last-minute fallback.
Mixed plans work too: senior staff fly, the rest travel by coach, and everyone meets for the first dinner.
Choosing the right hotel
For a working retreat, the meeting space matters as much as the sea view. Ask for a hall or conference room with a projector, reliable Wi-Fi and a sound system, and check whether it is free for the hours you need. Quiet matters: a room above a busy restaurant is no place for a planning session.
Other things to confirm in writing: how rooms will be shared, whether breakfast is included, a private space for the group dinner, and how far the hotel is from the beach. Hotels along Kolatoli and towards Marine Drive tend to feel calmer than the busiest stretch near Laboni and Sugandha points.
Team activities on the beach and Marine Drive
The best activities need little equipment and suit people of different fitness levels.
- An early-morning beach session: tug of war, relay races or beach football before the sun gets strong.
- A Marine Drive day: a group ride along the coast road to Himchari and Inani, with stops for photos and the rocky beach at Inani.
- A sunset hour: keep one evening free of programme so people can simply walk the beach together.
- A seafood or barbecue dinner: the night most people remember. Book it ahead and confirm the menu, including options for those who do not eat fish.
Remind everyone to swim only near the lifeguard points and to follow the beach flags. The Bay of Bengal can have strong currents, and an office trip is no time for risks.
Budgeting per head, and who does what
Work out a per-head figure by adding up transport, rooms, meals, the meeting room, local vehicles, activities and a small buffer for surprises, then dividing by the group. Agree early what the company covers and what is personal, such as shopping or extra drinks, so there are no awkward conversations on the last day.
Then give people clear roles:
- One trip lead who speaks to the hotel and the travel agent.
- One finance person who tracks spending and receipts.
- One activities person who runs the programme and keeps time.
- One headcount person for every bus, flight and boarding.
Share a one-page itinerary with times, room numbers and the trip lead's name before you leave. It answers half the questions you would otherwise get.
Softway Travels can plan and book the whole retreat, from group flights or a hired coach to hotel room blocks, a meeting room and local transport. Have a look at our Cox's Bazar package or our business travel services, then tell us your dates and group size.
